The English version follows the Japanese text. ↓

Create White Space in Everyday Work—and Make Work Truly Enjoyable
Business Process Redesign and Digital Transformation Program Powered by Dialogue and AI
Creative Guild’s Business Process Redesign Program Powered by Dialogue and AI is a practical business-process improvement and digital-transformation initiative. It combines AI tools with human dialogue to visualize workflows, reduce dependence on individual employees, improve information sharing, automate repetitive work, and create greater “white space” in everyday operations. By organizing increasingly complex workflows and enabling teams to build simple, flexible systems themselves, the program helps organizations redesign the experience of work—making it more enjoyable, creative, and sustainable.
■ Program Background
Through years of supporting digitalization, process improvement, and organizational transformation, we have consistently found that one of the most important questions is how to create white space within everyday work. White space does not simply mean spare time. It represents economic, temporal, and psychological breathing room. When this space exists, psychological safety and relationship quality improve, learning and dialogue become more active, and teams can achieve both creativity and productivity. As a result, organizations can experiment and make decisions more quickly while continually expanding the value they provide to customers and society.
One effective way to create this white space is through generative AI, cloud platforms, and workflow automation. AI can reduce repetitive work, search and organize information, summarize documents and meetings, visualize data, support content creation, answer routine inquiries, and accelerate decision-making. However, simply introducing off-the-shelf tools rarely produces lasting transformation. Successful AI adoption requires redesigning business processes to fit the organization’s real context and establishing systems that employees can operate and improve themselves.
Creative Guild has applied tools such as Airtable, Notion, ChatGPT, NotebookLM, Zapier, and Slack to design workflows, databases, information-sharing systems, automation, and AI integrations suited to specific teams and organizations. These practices form part of the operational foundation for creating a future that begins with fun. We developed this program by systematizing that experience and practical knowledge to help organizations continuously create white space, adapt to change, and become increasingly self-sustaining.
■ Program Structure
The program follows a step-by-step process for visualizing and reconstructing frontline workflows through dialogue and AI. The objective is to improve productivity and creativity without creating long-term dependence on outside consultants or system vendors. Team members develop the capability to understand, design, operate, and continually improve their own work systems.
1. Visualizing the Current State and Identifying Process Challenges
We begin with interviews, workflow inventories, and facilitated workshops to clarify the overall operating process and frontline challenges. Workflows, responsibilities, tools, data, and approval processes are mapped to identify duplicated entry, waiting time, information fragmentation, excessive reporting, manual tasks, and work that depends heavily on specific individuals. This clarifies where time is being lost, which work should be stopped or reduced, and where AI or automation can create the greatest value.
2. Process Design and AI Opportunity Mapping
Using the visualized workflow, we co-design a new business process that integrates AI and cloud tools. Platforms such as Notion, Airtable, ChatGPT, NotebookLM, and Zapier can support repetitive tasks, information management, knowledge sharing, customer service, reporting, approvals, and decision-making. The objective is not simply to “install AI,” but to design a complete way of working with AI at its core, including roles, data governance, security, and operating rules.
3. Prototyping and Frontline Implementation
A lightweight prototype is built using the minimum configuration required to test the redesigned process. Databases, input forms, dashboards, AI prompts, automation workflows, notifications, and document-generation functions are combined and tested in real operations. Feedback from actual users informs interface and configuration improvements. Instead of spending a long period building a finished system before use, we start small and move quickly toward a genuinely usable solution.
4. Training and Operational Adoption
Alongside prototype use, participants receive practical training in AI literacy, data utilization, process design, and computational thinking. Manuals and operating rules are developed so that employees can use, maintain, and improve the system themselves. By cultivating internal AI leaders and implementation owners, the organization reduces outside dependency and develops a team capable of adapting its operations as circumstances change.
5. Impact Evaluation and Continuous Improvement
Program outcomes are evaluated through both quantitative and qualitative measures. These may include processing time, throughput, lead time, cost, input errors, response time, information-search time, communication quality, employee experience, and psychological safety. Findings and frontline feedback guide the next improvement cycle, allowing the organization to update its operations as technologies and business conditions evolve and to build an operating foundation that continually generates white space.
6. Expansion and Systems Integration (Optional)
Where appropriate, the program can expand from the improvement of a specific process to cross-departmental, multi-location, or organization-wide optimization. We can also support integration with CRM, ERP, accounting, sales-management, and other systems, as well as internal knowledge search, AI chatbots, automated inquiry handling, and report generation. This enables the operating and data infrastructure to develop in line with the organization’s growth.
■ Expected Program Impact
The program is not simply about adopting AI tools. It is about creating an organizational structure and way of working in which AI strengthens people and frontline knowledge. The goal is not efficiency, cost reduction, or rationalization alone. It is to reflect practical knowledge in business processes and data, creating white space in which teams can focus on more creative work. In this sense, the program realizes digital transformation not as technology installation, but as continuous transformation of work, organization, operations, and customer value.
By visualizing workflows and redesigning processes, the program reduces hidden operational losses such as duplicated work, re-entry of information, fragmented data, employee-dependent processes, and excessive reporting or approval delays. Team members can then invest more time and energy in customer engagement, planning, new business development, learning, dialogue, and quality improvement.
Designing human-AI collaboration also becomes a learning opportunity that deepens operational understanding, dialogue, and trust. As employees articulate their work, share knowledge, and jointly design improvements, psychological safety and ownership increase. The collective belief that “we can change our own work” becomes the foundation for a culture of continuous improvement, learning, and experimentation.
Depending on scope and system-development requirements, a comparable business-process reform or digital-transformation project for a small or medium-sized enterprise may cost approximately JPY 7–8 million and require around eight months. This is an AI-generated reference estimate from the Creative Tools Market Price Checker and should not be treated as a guaranteed market price. Actual cost and duration vary significantly depending on workflow scope, system requirements, data volume, integrations, and internal resources. By combining existing tools, AI-assisted design and implementation, small-scale prototyping, and internal capability building, this program may, under appropriate conditions, create a self-sustaining process-improvement model at approximately one-half to one-third of the cost and duration of a conventional comprehensive engagement. Actual scope, fees, schedule, and expected outcomes are determined through individual consultation and quotation.
